About the Role

We are seeking an Investigator Payments Lead – Senior Associate (Clinical Site Payments Lead – Senior Associate) to join our team in a remote working capacity.

As an Investigator Payments Lead - Senior Associate, you will play a critical role in ensuring clinical trial sites and investigators receive timely and accurate payments from study start up through closeout. Supporting the sponsor’s Clinical Development & Operations organization through a Functional Service Provider model, you will manage key investigator payment activities across a portfolio of studies while helping maintain positive site relationships and operational excellence.

This position combines project management, cross functional collaboration, and oversight of payment related processes that directly support successful clinical trial execution. You will work closely with internal stakeholders and external partners to ensure clinical site payment activities are accurately configured, monitored, and delivered in alignment with contractual requirements and operational standards.

Key Responsibilities

  • Manage the full lifecycle of clinical site payment administration, including protocol schedules of activities, per subject costs, payment triggers, database build activities, startup payments, EDC driven visit payments, and invoiceable items.

  • Lead planning of key payment activities to ensure systems are configured appropriately and startup milestone payments are delivered on time.

  • Assess EDC design and data collection processes to ensure accurate mapping to budget structures and timely payment triggering.

  • Troubleshoot payment failures and drive resolution activities to minimize delays in site payments.

  • Review and provide guidance on the configuration of site contracts and budgets within payment systems to ensure alignment with contractual terms and required updates.

  • Provide oversight of vendors to ensure adherence to investigator payment processes and standards, including payment approvals, invoice management, and query resolution.

  • Triage complex technology and process issues involving site relationships, budgets, contracts, regulatory requirements, languages, taxes, currencies, and related interdependencies.

  • Review study payment performance, identify root causes of issues, and implement corrective actions to ensure payments are processed according to contractual terms.

  • Ensure purchase orders are active and that adequate funding is in place to facilitate timely transfer of approved payments.

  • Support study specific audit activities related to investigator payments when required.

  • Resolve site and study level payment escalations to maintain site satisfaction and operational continuity.

  • Ensure appropriate contracts, work orders, and funding are in place to support the execution of site payments.

Candidate Profile

You’ll thrive in this role if you bring:

  • Experience working in clinical research, clinical operations, finance, accounting, contracts administration, or another regulated environment.

  • The ability to collaborate effectively across functional teams, cultures, and locations while managing competing priorities.

  • Strong business judgment and attention to detail when working with site budgets, payment terms, and study level processes.

  • Comfort working with payment systems, EDC data, contracts, budgets, and process driven workflows.

Required Qualifications

  • Bachelor’s degree or equivalent relevant professional experience.

  • Two plus years of experience in clinical contracts and budget administration, accounting, finance, clinical project management, clinical operations, or a related field.

  • Knowledge of clinical operations, clinical protocols, and site budgets.

  • Demonstrated understanding of clinical site and vendor budgets and payment terms.

  • Excellent interpersonal, organizational, administrative, and problem-solving skills.

  • Demonstrated ability to work effectively in a cross functional environment with clinical operations, business technology, legal, finance, tax, and other functional teams.

  • Proven success completing assignments, tasks, and projects with minimal supervision while making informed recommendations related to investigator payments.

  • Ability to work independently within a collaborative, team-oriented environment.

Preferred Qualifications

  • Experience with the usage, monitoring, or management of EDC data and systems.

  • Experience with industry payment processing software, including development of business requirements.

  • Experience working for a Clinical Research Organization or sponsor.

  • Knowledge of local tax and payment regulations in countries where clinical trials are conducted.

  • Experience supporting cross border financial transactions.
